3.    On the day of Congress

Ø  Visiting on-site venue

The decision to visit the venue will be left to the individual, but please follow government policy and adhere strictly to regulations. At this stage we do not encourage overseas visitors to the venue. In-person congress registrations will include free access to the virtual congress.

 

  ATTENTION:

Due to infection control measures, all participants who visit the venue are requested to make an online registration in advance.

To make an online registration, please go to the "REGISTRATIN" section of this website.

 

On the day of the event, please come directly to the registration desk located in the venue at the time mentioned below. At the registration counter, please present the Confirmation Mail you received after completing your pre-registration, then receive your registration pass in exchange for submitting the health declaration form. Download the health declaration form

 

Ø  Access to the virtual venue

All registered participants will receive an email ticket through the email. By clicking on the access button on the email ticket, you will be able to enter the virtual site. For more information on how to access the virtual site, please see "ATTEND VIRTUAL SITE".

 

4.    Certificate of Participation

Certificates of participation will be sent individually by e-mail to those who wish to receive them.

If you would like to receive a certificate, please CLICK HERE to apply. Please note that the Certificates of participation will be issued at the end of the On-demand period, following confirmation of on-site participation or virtual site viewing records. Therefore, it will not be sent until late January 2022.

For Chair and Speaker

1.     How to make your oral presentation/chair session on the day of congress

Ø  Speakers from Western countries

Due to the time difference between Japan and Western countries, presentations will be broadcast via a video submitted in advance. You do not need to present live on the Zoom webinar at the time of your presentation. However, it is possible to participate in the live webinar for the Q&A session. If you wish to give a live presentation, please select your preferred method of presenting when registering your video data. You will find more information on how to prepare and register your presentation data below.

 

Ø  Speaker from Asia Pacific and Japan

You will be able to access the designated Zoom Webinar on the scheduled date and time, share your presentation slides on screen, and talk about your presentation live. Even if you are presenting live, you will still need to register your presentation data with audio for backup, just in case there are problems with the connection or system that prevent you from presenting. Please see below for instructions on how to create and register your presentation video data. Additionally, you will find more information on how to prepare and register your presentation data below. If for some reason you are unable to give a live presentation on the day of your talk, it is possible to broadcast your presentation video. If this is the case, please select your preferred presentation method when you register your video data.

 

  Speaker of Emerging Talent Symposia attend from Japan

We encourage you to speak at the venue, where the presentation slide data should be submitted to the PC preview desk. Please take note that you are required to register your presentation data for backup in case there are problems with the connection or system that prevent you from presenting. Please see below for instructions on how to create and register your presentation video data.

 

Ø  To the chairpersons

Congress/Assembly Symposium: All chairs are expected to access the Zoom call at the designated time and lead the session.

Emerging Talent Symposia: If you are from Japan, please come to the venue and join the session at the venue whenever possible. If you are from overseas, please join the session by accessing the Zoom Webinar. The access information of Zoom for your session at least one week before the event.

 

2.     How to join the Zoom live session

You can access the zoom live you are attending from the APSR 2021 Zoom Live Portal Site.

To access this portal site, a password is required to log in—this will be provided to all participants of the Zoom live session through the email at least three days before the congress.

Ø  On the day of your live session

Please access the APSR 2021 Zoom Live Portal Site and log in with a password informed by the secretariat, then find your session to access the Zoom room. All chairs and speakers are required to enter the Zoom room 30 minutes before the start of the session.

 

Ø  Online Connecting Test

The Zoom connecting test has been scheduled for Friday, November 19, 2021, between 16:00 and 17:00 (JST/UTC+9). If you are unsure about your computer, internet connection or how to use Zoom, our operators will be happy to help you. Access to Online Connecting Test

 

3.     How to create presentation video data and submit it

(1) The presentation data are created in PowerPoint as a normal presentation, and your talk is recorded on the slides using the audio recording function.

(2) Then, save this PPT slide data with recorded audio in MP4 format for converting to video data.

(3) Upload your completed presentation video data in MP4 format to the designated registration site.

(4) Instead of using the audio recording function of PowerPoint, you can use a video camera; however, please make sure that the format is MP4.

4.     Online presentation video and poster (slide PDF) data registration

Starts on November 2, 2021 (12:00 noon JST/UTC+9)

Closes on November 15, 2021(12:00 noon JST/UTC+9)

 

To register your presentation video data, you will need an ID and a password assigned to each presentation title, which have been provided to each presenter and speaker through the email. If you have not received this email, please contact the local congress secretariat at apsr2021-info@coac.co.jp.

 

5.     How to make a poster presentation

Poster presentations will be considered presentations when the poster data is published on the virtual website. For poster presentations, please prepare your slides (up to 15 slides) using Microsoft PowerPoint, convert them to a PDF file, and then upload the PDF file to the designated website above. The Q&A system will be set for each poster on the poster session website, and presenters are encouraged to respond to submitted questions to the best of their ability. Posters will be available on demand from the first day of the conference, November 20, until December 28, 2021. The Q&A system will be available during this period, so please check back regularly during this time to see if there are any questions.

 

6.     Disclosure of conflicts of interest (COI) regarding presentation title

Regardless of the presence or absence of conflicts of interest (COI), please disclose the COI in the last 5 years for the first author and co-authors on the second slide of the presentation. Additionally, the first slide should include the presentation title, name, and affiliation. A COI disclosure template can be downloaded by CLICK HERE.
